How to Plan County Presentation Day

 

WHAT IS IT:

WHO IS IN CHARGE:

 

WHAT TO DO:

-Consult with youth advisor to select date

-Reserve rooms that are wheelchair accessible.  When reserving facility, obtain a lease agreement (if not already in place) and submit unsigned to YDA for processing.

-Notify Council Vice President of date to place on calendar.

-Recruit youth and begin holding committee meetings

-Begin publicity

-Begin offering public speaking/demonstration workshops

-Develop budget and check figures with Council Treasurer

-Continue publicity

-Begin recruitment of judges, emcees, and volunteer helpers

-Produce applications and post them on the web.  Applications must be approved

 by YDA beforehand. 

-Send out applications to all eligible participants through the 4-H office

-Order awards (certificates and medals) after checking to make sure they are not already available at the 4-H office.

-Publicize in the Timely Topics specific rules, time, directions and location of the

 event.  Monthly deadline is the 15th. 

-Collect applications

-Meet with committee to confirm jobs

-Plan refreshments

-Assign presentations to rooms

-Print up program

-Call judges/emcees to confirm attendance

-Confirm refreshments

-Re-confirm facility

 

-Conduct a judges orientation

-Conduct emcee orientation

-Conduct awards ceremony

-Update the binder for the following year

-Send thank-you cards to judges
