2007-06-12

meeting called to order at 7:15 pm

President's report
Leader Training – We have a training resource who can now spend more time with individual clubs! (Deboah) Need to keep providing opportunities for our Volunteer Leaders.
What do we want? What do we need?

SLF - need to get clubs thinking about it now. Each club should be sending one or more adult leaders.
Nov 16-18, Asilomar Conference Center – don’t forget there is financial assistance for first time attendees

New 4-H Initiatives - Want this to be focus of Sept general meeting
SET, Citizenship, Healthy Living - handout for SET - Nothing really new just an emphasis the “sciences” Also we need to look for opportunities to partner with other groups - look for resources and facilities – “Friend Raising” Need to make sure we are working on and assoiated with issues that the public is aware of

Structure of general meetings – move away from “just” giving reports?

Flag Day this Thursday!
County Government Center Plaza, 70 West Hedding Street, San Jose
All volunteers and their families arrive by 11:00 a.m. The event starts promptly at 12 Noon. Great opportunity for 4-H to be visibly active in presence of county educators and officials. FREE PR!

Leader training held two months ago. Now have a resource (Program Rep Deborah Lang) in the CE office to hold other advanced trainings if desired.
SLF advertisment.

July and August meetings to go.

Focus on Healthy Living; Science, Engineering & Tech; (something else) for this program year in 4-H nationally.

September meeting: Murlin wants to kick off the year by relating projects to the SET track.

Think about what we can do in partnership with other organizations as 4-H projects or clubs.

Flag day this coming Thursday at noon at 70 W. Hedding.

Push to have reports ready before the meeting, then handed in and the meeting can then focus on other things.

Yahoo group calendar can be used as a collection place for the activities that are county-wide.

Treasurer's report: inflow and outflow synopsis.
SCC4-H portion of the fees that adult and youth members pay to the clubs to join 4-H are $7 for youth, $11 for adults. Kate suggested that the allocation of these fees should be redirected to different line items in our budget. Council Grants seem to be the most popular line item to redirect these monies to.

Historical note: When the CE office and the State office seemed to be in financial dire straits, we (SCC4-H) increased our fees to be ready to accomplish the kinds of things that the CE and State office would be cutting back. As financial situation changed, these fees still remained.

Families that want to join 4-H but feel they cannot afford the fees should contact the CE office for an application for financial aide.

VP: calendar queries.

Web site issues: add the "How To and What Is" info to the new web site.
Add a link to the Yahoo group on the SCC4-H Council page.

Yahoo group: issues of who is on, who is not on. 250 invites were emailed out last year, only one response.

All Stars: selection for next year's all stars; the County Olympics (in honor of Dan Chitwood) seemed to be a great time for those that attended. The hope is that the event will become an annual event.

Camp report:
Camp is full; 100 members; 13 chaperones. Applications received on 5/31 or later were placed on a waiting list.
George Gadd will be camp "Nurse"
Clover Camp is almost full as well.
Camp Rent and permit process completed.
Final Staff meeting June 25.

Program Rep Deborah Lang presented the idea of opening up the all star meetings to prospective next year's all star applicants, allowing these prospects see what it would be like to be an all-star. then, after their active year, if they would remain as active mentors to the current all-stars.

the current all-stars indicated that they felt that there is a de-facto support system for the active all-stars in the availability of the past all-stars, and the pre-all star prospects are the junior and teen leaders within the county, and the staff volunteers who support the Leadership Overnight event.
Small/Large Animal Field Day: We all want to have the event again next year. Planning meetings will be starting soon.
Mega Field Day and Smarge – Next Year will be our “Second Annual” for both events. Both provide opportunities for clubs to get together and share what they have been doing as well as having a public venue to show what 4-H is all about. Now is the time to review purpose of each, start planning process now, and get more clubs / leaders / youth involved. Both were very successful events – the public saw SCC 4-H and 4-H had a fun day.
?Basically Mega field day is focused on public outreach – club banners and activity booths / tables to allow public to see / touch / participate in 4-H “Stuff”. Great place to show that 4-H is more than Cows and Cookies
?Smarge should be more 4-H focused where training, competition, and proficiencies can be made available for 4-H’rs. Should still have a public face and allow public a “look into” 4-H activities.
Discussion
Awards: A volunteer of the year award is being considered. The selection process and the award were discussed.
Possible ideas for a Silent Auction at the Fair as a fund raiser was being considered.

MSC to bring the idea of the Silent Auction at the fair (using Stills items) up at the full council next month.

MSC to print out and mail out the current roster.

Meeting adjourned at 9:15 pm

Respectfully submitted,
Gary Lang
